Lead Desk · our first service

Every new inquiry answered, sorted and followed up.

Lead Desk replies to each web inquiry with a message you approved, scores it so you know who to call first, alerts you, and follows up politely until the customer answers. It runs in your own Gmail and Google Sheets.

What happens to each inquiry

01 · SaveRecorded in your sheet

Each inquiry becomes a row in a Google Sheet you own, even if an email later fails.

02 · CheckSpam and duplicates filtered

Link spam, bots and accidental double submissions are caught before anything is sent.

03 · ReplyYour approved message

Office hours, after hours or urgent, sent from your Gmail.

04 · ScoreWho to call first

A 0–100 score with readable reasons, and an alert to you.

05 · Follow upDays 1, 3 and 7

In the same thread, stopping when the customer answers.

Approved replies

The right first reply, in your words.

We write three acknowledgements with you: one for office hours, one for after hours, and one for urgent requests that tells the customer to call you. Lead Desk chooses between them using your hours and your urgent words.

Replies never repeat what the visitor typed. The customer’s first name is used only after links, symbols and formulas are stripped out.

Priority rules

A score you can read, not a black box.

Each inquiry gets points for the things that matter to your business: a high-value service, urgent wording, a phone number, a detailed message, and whether it’s inside your service area. Every point comes with its reason.

The score decides the order you call people in and how many follow-ups they get. It never decides whether someone gets a reply.

Follow-up schedule

Persistent, then quiet.

If the customer hasn’t answered, Lead Desk sends up to three short follow-ups in the same email thread, on days 1, 3 and 7. Cold inquiries get one.

  • A reply check runs every hour. A customer’s answer stops the follow-ups at the next check.
  • Out-of-office replies don’t count, so follow-ups continue.
  • “Stop” or “no thanks” marks the lead unsubscribed.
  • Set a lead to booked, won, lost or manual and its follow-ups stop.

  2. Follow-up 2Mon, Oct 19, 11:20 AMstopped
  3. Follow-up 3Fri, Oct 23, 11:20 AMstopped

A reply check runs every hour. When Marcus answers, the next check stops the remaining follow-ups.

Owner alerts

Know what needs you, without watching the inbox.

You get an email for each new inquiry with its score and the customer’s details, and a summary at 7:00 every morning: new leads, customers who replied, and anything that needs your attention.

If a reply can’t be sent, the inquiry is still saved, marked needs attention, and listed in your summary. Errors go to a log sheet and to you, at most once an hour.

What you receive

A working setup in your Google account.

This is what a Lead Desk client gets. It’s delivered in your own Google tools, not a Banira app.

Included

  • A Google Sheet tracker you own: every inquiry, its score, status and follow-ups
  • The Lead Desk script, attached to that sheet, with minimal permissions
  • Six approved messages: three replies and three follow-ups
  • Your priority rules, hours, urgent words and service area
  • Owner alerts and the 7:00 daily summary
  • Connection to your website form, or a Google Form we set up
  • A test run that sends nothing, then one live test with addresses you control
  • A handover note, including how to pause everything in about ten seconds
  • 30 days of fixes after go-live

Not included

  • A Banira dashboard or app. The interface on this site is a sample; Workspace is a concept.
  • Text messages, calls or a voice assistant
  • AI-written replies. Messages are fixed templates you approved.
  • Microsoft 365 / Outlook. Lead Desk runs on Google only.
  • Changes to your website beyond pointing its form at Lead Desk

Ongoing monitoring and small changes are available as Care.

Current limits

What to know before you decide.

Lead Desk v1.1 limits and verification status
AreaLimit
Email volumeGoogle limits automated email: about 100 recipients a day on a free Gmail account, more on Google Workspace. Lead Desk keeps part of the quota for your own alerts.
TimingReplies are sent when the form submission is processed. Follow-ups and reply checks run hourly, so they can be up to an hour after they’re due.
ChannelsEmail only. No SMS, calls or chat.
PlatformGoogle (Gmail, Sheets, Apps Script). Not available for Microsoft 365.
UnderstandingRules match words and fields. Unusual wording can be scored lower than a person would score it.
VerificationLead Desk v1.1 passes 53 automated tests run against simulated Google services. It has not yet run in a real client account; each installation is tested live in your account before it goes live.

See if Lead Desk fits how you work.

Setup is $490 one-off ($290 for the first 3 founding clients). Founding clients pay once it’s live and working.

Approved replies

Every message a customer can receive is written with you and approved before go-live. Lead Desk picks one of three acknowledgements by time and urgency, fills in the customer's first name (cleaned) and your details, and never repeats what the visitor typed.

Current limits

  • Email only. Text messages need a paid telephony service and are not offered.
  • Messages are fixed templates. Lead Desk does not write replies with AI.
  • One automatic reply per address per 24 hours, with hourly and daily caps.
  • A free Gmail account can send to about 100 recipients a day through Apps Script; Google Workspace allows more.

Current limits

  • Rules match words and fields. They don't understand meaning the way a person does, so unusual wording can be scored low.
  • Scoring is a guide for who to call first. It never decides whether someone gets a reply.
  • Service-area checks use ZIP code prefixes.

Follow-up schedule

If the customer hasn't answered, Lead Desk sends up to three short follow-ups in the same email thread, on days 1, 3, 7 after the inquiry (hot and warm: 3, cold: 1). They stop when the customer replies, asks to stop, or you change the status in your sheet.

  2. Follow-up 2Thu, Oct 22, 9:40 PMscheduled
  3. Follow-up 3Mon, Oct 26, 9:40 PMscheduled

A reply check runs every hour. When Lee answers, the next check stops the remaining follow-ups.

Dates from the engine's plan for a sample inquiry received Mon 9:40 PM.
  • Reply check: runs every hour, so a follow-up stops at the next check after the customer answers, not instantly.
  • Out-of-office replies don’t count as an answer, so follow-ups continue.
  • Pause one lead: set its status to booked, won, lost or manual and no further follow-ups are sent.
  • Pause everything: switch test mode on; nothing is sent until you switch it off.

Current limits

  • Follow-ups are sent by an hourly run, so they can go out up to an hour after they are due.
  • A reply has to come from the customer's address in the same thread to be recognised.
  • If a send is interrupted, the lead is flagged for review instead of being retried automatically.
