What Banira is

A small automation agency, starting with one service done properly.

Most owner-run businesses don’t need another platform. They need the inquiries they already get to be answered, sorted and followed up, without adding work. That’s where we start.

Banira

Sets up and supports the systems. You deal with a person, approve every message your customers can receive, and own what we build.

Inquiry handling

Every inquiry gets a considered first reply.

When someone fills in your website form, Lead Desk saves it to your sheet and sends the reply you approved for that situation: office hours, after hours, or urgent. Then it scores the inquiry so you can see who matters most.

Follow-up and visibility

Polite follow-up, and a clear view of what needs you.

If a customer doesn’t answer, Lead Desk follows up in the same email thread on days 1, 3 and 7, then stops. You get an alert for each new inquiry and a summary every morning at 7:00.

A reply check runs every hour. When the customer answers, the next check stops the remaining follow-ups and the summary tells you to reply personally.

Chris Dunn · reply could not be sent

When an email can’t be delivered, the inquiry is still saved, marked needs attention, and included in the owner’s alert and daily summary. Follow-ups wait until a person has looked at it.

Fictional example. The failure is simulated; the handling is how Lead Desk v1.1 behaves in tests.

Automations at work

Three routines run in your account every day: replying to each inquiry, checking for answers every hour, and summarising the morning. Each one only does what you approved.

Lead Desk is a small script attached to a Google Sheet you own. It uses your Gmail to send. There’s no Banira software to log in to and no monthly platform fee.

About Care
Do I get the dashboard shown above?

No. The sample interface explains how Lead Desk works. What you receive is the documented setup in your own Google account: a Google Sheet tracker, the script, your approved Gmail messages, alerts and a daily summary email. The Workspace view is a concept.

What do I need to have already?

A Google account you send customer email from (free Gmail works, with Google’s limit of about 100 automated recipients a day; Workspace allows more) and a website form, or a Google Form we set up.

Who owns it?

You do. It runs in your account, the data stays there, and it keeps working if we stop working together. We remove our access at handover unless you choose Care.

Is Lead Desk available now?

We’re taking first conversations. Lead Desk has passed its automated tests against simulated Google services; each installation is verified live in your account, with test addresses you control, before it goes live.

Tell us how inquiries reach you today.

A short conversation is enough to tell whether Lead Desk fits. If it doesn’t, we’ll say so.

  1. You send a short noteName, contact, the tools you use and what goes wrong today.
  2. A fit checkA short call about your inquiries. No account to create.
  3. A written planMessages, rules and a fixed price. Nothing starts until you approve.

Approved replies

Every message a customer can receive is written with you and approved before go-live. Lead Desk picks one of three acknowledgements by time and urgency, fills in the customer's first name (cleaned) and your details, and never repeats what the visitor typed.

Current limits

  • Email only. Text messages need a paid telephony service and are not offered.
  • Messages are fixed templates. Lead Desk does not write replies with AI.
  • One automatic reply per address per 24 hours, with hourly and daily caps.
  • A free Gmail account can send to about 100 recipients a day through Apps Script; Google Workspace allows more.

Priority rules

Each inquiry gets a score from 0 to 100 with the reasons attached, so you can see why it matters. Scores of 60 or more are hot, 30–59 are warm, and lower scores are cold. Spam is filtered first and never gets a reply.

Urgent words in the sample: no heat, emergency, gas smell, smell gas, carbon monoxide, water leaking, freezing, asap, urgent, today.

Current limits

  • Rules match words and fields. They don't understand meaning the way a person does, so unusual wording can be scored low.
  • Scoring is a guide for who to call first. It never decides whether someone gets a reply.
  • Service-area checks use ZIP code prefixes.

Follow-up schedule

If the customer hasn't answered, Lead Desk sends up to three short follow-ups in the same email thread, on days 1, 3, 7 after the inquiry (hot and warm: 3, cold: 1). They stop when the customer replies, asks to stop, or you change the status in your sheet.

Follow-up scheduleLee Park · warm

  2. Follow-up 2Thu, Oct 22, 9:40 PMscheduled
  3. Follow-up 3Mon, Oct 26, 9:40 PMscheduled

A reply check runs every hour. When Lee answers, the next check stops the remaining follow-ups.

Dates from the engine's plan for a sample inquiry received Mon 9:40 PM.
  • Reply check: runs every hour, so a follow-up stops at the next check after the customer answers, not instantly.
  • Out-of-office replies don’t count as an answer, so follow-ups continue.
  • Pause one lead: set its status to booked, won, lost or manual and no further follow-ups are sent.
  • Pause everything: switch test mode on; nothing is sent until you switch it off.

Current limits

  • Follow-ups are sent by an hourly run, so they can go out up to an hour after they are due.
  • A reply has to come from the customer's address in the same thread to be recognised.
  • If a send is interrupted, the lead is flagged for review instead of being retried automatically.
